Privacy policy

Already Sent (“we”, “us”) sends automated project status updates to your clients on your behalf. This policy explains, in plain English, what data we hold, why we hold it, and where it lives. If anything is unclear, email us at hello@alreadysent.co.uk and we will give you a straight answer.

What we collect

• Your account email address — used to sign in and to send you service notifications.
• Client names and email addresses — the details you enter for the clients you send updates to.
• Update content — the text of the status updates you write and schedule.
• Acknowledgement timestamps — a record of when a client opens and confirms they have read an update.

We do not collect anything we do not need to run the service. There is no advertising tracking on Already Sent.

Why we collect it

For one reason: to deliver the service — sending your scheduled updates, tracking acknowledgements, and alerting you when a client goes quiet. We do not run ads, we do not profile you, and we will never sell your data or your clients’ data to anyone.

Where your data lives

We use a small number of trusted processors to run the service:

• Supabase — our database, hosted in the London/EU region.
• Vercel — hosts the application itself.
• Resend — delivers the update emails.

These are the only third parties that touch your data, and they process it solely on our instructions.

Our lawful basis

Under UK GDPR, we process your account data because we need it to perform our contract with you, and we process usage data under our legitimate interest in running and improving the service. Neither basis extends to marketing to your clients — we never contact them except to deliver the updates you schedule.

Your clients’ data

The clients who receive updates are your clients, not ours. For their data, you are the data controller and Already Sent is the data processor, acting only on your instructions. If one of your clients has a question about their data, they should contact you, and we will support you in answering it.

How long we keep it

For as long as you have an account. When you close your account, your data — including your clients’ details, update content and acknowledgement history — is deleted.
